Each venue had its own Excel file: to know whether a given room at a given venue was free, you had to ask or find the right file. The whole team now has the answer in front of them, in a single calendar connected to the CRM.

The obstacle

Why no off-the-shelf tool fitted

Several venues, several rooms in each, and events that are sometimes on option, sometimes confirmed. A Google-style calendar cannot show that. Specialised software, for its part, charges a licence per venue: for eight venues, the bill got very heavy.

You place a booking and link it to the CRM opportunity: client, contact, headcount and event type arrive on their own from Zoho. The status follows the quote: the booking moves from option to confirmed as soon as the quote is accepted.

In the planning view, you drag a booking from one room to another and stretch it to make it longer. The change reaches Notion within the minute, and the whole team sees it.

An event deserves photos? Tick a box: the communications team gets an email that opens the booking directly, and a filter shows only the events to photograph. A small request from the team, handled quickly because the app is custom-built.
